Team and roles
Everyone in pixmoat belongs to an organization. Their organization role decides what they can manage. Members also need access to each project they work in.
You manage the team in Organization settings. Open the organization switcher at the top left and select Organization settings. The Members tab lists everyone in the organization with their role and project access.
Organization roles
An organization has exactly one owner. Everyone else is an admin or a member.
| What they can do | Owner | Admin | Member |
|---|---|---|---|
| See the member list and billing details | Yes | Yes | Yes |
| Invite members | Yes | Yes | No |
| Invite admins, make someone an admin, change or remove an admin | Yes | No | No |
| Remove members | Yes | Yes | No |
| Choose which projects a member can access | Yes | Yes | No |
| Create and delete projects | Yes | Yes | No |
| Manage every project’s settings, tokens and members | Yes | Yes | Only projects where they’re a project Admin |
| Review builds | Every project | Every project | Projects they can access |
| Start a subscription, buy screenshot packs, open the billing portal | Yes | Yes | No |
| Change the number of seats | Yes | No | No |
| Transfer ownership | Yes | No | No |
Admins see some owner-only controls, such as Admin in the invite form or Remove on another admin. If an admin uses one, pixmoat refuses with a message such as “only the org owner can remove an admin”.
Invite a teammate
Each person in the organization takes a seat (see Seats). To invite someone:
- On the Members tab, select Invite member.
- Enter their email address and choose Member or Admin. Only the owner can invite an admin.
- Select Send invite. You’ll see “Member invited successfully.”
The person joins the organization at once. There’s no pending state, and there’s nothing to resend or cancel. To undo an invite, remove the member.
What happens next depends on whether they already have a pixmoat account:
- They have an account. pixmoat doesn’t email them. Tell them to switch to your organization with the organization switcher.
- They don’t have an account. pixmoat emails them “You’re invited to organization on pixmoat”. To set their password:
- They open app.pixmoat.com. The Accept invitation and set your password button in the email also leads to the sign-in page.
- They select Forgot password?, enter the invited email address and select Send reset link.
- They open the reset email within an hour, choose a password and sign in.
A new member has no project access until you grant it (see below).
Project access
Owners and admins can open every project. Members only see the projects they’ve been granted, with one of two project roles:
| Project role | What it allows |
|---|---|
| User | View builds and review them: approve, reject and finish reviews. |
| Admin | Everything a User can do, plus the project’s Settings (including Tokens) and Members. |
A member with no project access sees “No projects available” on the Projects page.
Choose a member’s projects
On the Members tab, the line under each member shows All projects for owners and admins. For members it shows No project access, a count or the project names.
- Select Edit under a member.
- In Project access, check each project they should see.
- Select Save.
New grants get the User role. Change a role from the project’s Members page.
Manage access from a project
Project admins manage a project’s own list: select Members in the project sidebar.
- Select Grant access.
- In Person, search for an organization member, or type an email address for someone new.
- Choose a Role and select Grant access, or Send invite for someone new.
The People with project access list lets you change a role or select Remove access. Organization owners and admins don’t appear in it, because they already have access to every project.
Inviting someone new from a project adds them to the organization as a member and takes a seat, even if you’re a project admin but not an organization admin. The seat limit still applies.
Seats
Every member takes one seat, the owner included. Invited people count as soon as you invite them.
The Members tab shows seats in use as Seats: used / limit. At the limit, Invite member is turned off and you’ll see Plan limit reached:
- Free plan: upgrade to Pro for more seats. See Billing.
- Pro plan: the owner adds seats in Billing & usage before you invite anyone else. See Change the number of seats.
You can’t reduce seats below the number of members. Remove members first.
Change a role or remove a member
- Change a role: use the role dropdown on the member’s row. The change saves at once. Only the owner can make someone an admin or turn an admin back into a member.
- Remove a member: select Remove on their row, then Confirm. They lose access to the organization and all its projects, and their seat becomes free.
You can’t change your own role or remove yourself. There’s no way to leave an organization on your own. Ask an owner or admin to remove you. The owner can’t be removed; transfer ownership first.
A demoted admin keeps only the project grants they had as a member, which is often none. Grant their projects again after you change the role.
Transfer ownership
Only the owner can transfer ownership, and only to someone who is already a member of the organization.
- On the Members tab, select Make owner on the new owner’s row.
- Read “This will make the selected member the organization owner and demote you to admin.” and select Transfer ownership.
You become an admin. You can’t undo this yourself; the new owner has to transfer ownership back. The owner receives billing emails and is the only one who can change seats, so transfer ownership before the current owner leaves the company.
Create another organization
Open the organization switcher and select Create organization. Enter an Organization name and a Slug (lowercase letters, digits and hyphens), then select Create. You own the new organization, and it starts on the Free plan.
How many organizations you can own depends on your plan. If you reach the limit, pixmoat refuses with a message such as “Free plan is limited to n orgs.”
