stableFor organization owners and admins

Billing

Billing belongs to the organization, not to a person. Open the organization switcher at the top left and select Billing & usage. Every member can see this page. Only the owner and admins can make changes: the owner changes seats, and the owner or an admin starts a subscription, buys screenshot packs or opens the billing portal.

Payments are handled by Creem, pixmoat’s payment provider. pixmoat never sees your card details.

Plans

An organization is on the Free or the Pro plan. The Current Plan card shows which one, the billing period and the next renewal date.

  • Free has a fixed number of projects and seats, a monthly screenshot allowance and a build history limit.
  • Pro is paid per seat. Each seat adds to the organization’s monthly screenshot allowance. Projects are unlimited and build history is kept longer.

The pricing page shows the current prices and limits. Usage & capacity shows what your organization uses now (see Usage and limits).

Upgrade to Pro

  1. On Billing & usage, go to Upgrade to Pro.
  2. Choose Monthly or Annual. Annual billing costs less per seat.
  3. Set Number of Pro seats. It can’t be lower than the number of people in the organization, because every member takes a seat (see Seats).
  4. Check the total and Combined allowance, then select Upgrade to Pro.
  5. pixmoat opens Creem’s secure checkout. Pay there.

Creem returns you to pixmoat, and you’ll see You’re on Pro!. The plan changes as soon as Creem confirms the payment. If the plan still says Free after a few minutes, reload the page.

If you see “Choose at least n seats to cover every active member.”, raise the seat count or remove members first.

Monthly and annual billing

You choose the billing period at checkout, and the Current Plan card shows it as (Monthly) or (Annual). pixmoat has no switch for an existing subscription. To change the period, use Help & feedback to ask the pixmoat team (see Troubleshooting).

Change the number of seats

Only the owner can change seats, and only while the subscription is Active.

  1. On Billing & usage, go to Manage Seats.
  2. Set the number of seats and select Update.
  3. Read Review your seat change and confirm.
  • Adding seats takes effect at once. You’re charged now for the rest of the billing period. The dialog shows an estimate, and your receipt shows the exact charge including tax. The extra screenshot allowance applies this month.
  • Removing seats is scheduled for your next renewal, with no partial refund. You keep the seats you paid for until then, and this month’s allowance doesn’t drop.

You can’t go below the number of members. Remove members first (see Team and roles).

Cancel your subscription

There’s no cancel button in pixmoat itself.

  1. On Billing & usage, select Manage Subscription. Creem’s billing portal opens in a new tab.
  2. Cancel the subscription there.

Cancelling takes effect at the end of the paid period. Until then the plan stays Pro, and everyone sees “Your Pro subscription is scheduled to cancel on date.” The Current Plan card shows Cancels soon. After that date the organization moves to the Free plan (see When Pro ends).

To stay on Pro, open Manage Subscription again before that date. After the move to Free, start a new subscription with Upgrade to Pro.

Billing emails

pixmoat sends billing emails to the organization owner’s account email. There’s no separate billing address, so transfer ownership if someone else should receive them.

EmailWhen
“Your organization Pro plan is active”Your first payment went through.
“Your organization Pro plan renews soon”About 5 days before a monthly renewal, or 14 days before an annual one. It shows the seat count and the list price. Your receipt shows the exact amount.
“Your organization Pro plan has been renewed”A renewal payment went through.
“Payment failed for organization”A payment couldn’t be taken. Select Update payment method in the email.
“Your organization Pro plan has been cancelled”The subscription ended and the organization moved to the Free plan.

Receipts come from Creem.

Banners

Everyone in the organization sees these at the top of the app:

  • Renewal reminder: “Your monthly Pro subscription renews on date for amount.” It appears in the last few days before a renewal. You can dismiss it.
  • Payment failed: “Your Pro subscription payment could not be processed.” It stays until the payment goes through. The owner or an admin selects Update billing → and updates the payment method in the billing portal. Pro stays active while the payment is past due. If it’s never paid, the subscription ends.
  • Scheduled cancellation: see Cancel your subscription.

When Pro ends

When a subscription ends, because it was cancelled or because payment failed for good, the organization falls back to the Free plan’s limits. Billing & usage shows Pro expired and Your subscription has lapsed.

  • People and projects stay. You can still open every build and review, and manage the organization.
  • Seats: you can’t invite anyone new while the organization has more members than the Free plan allows.
  • Projects: you can’t create projects past the Free limit.
  • Uploads continue until the Free monthly allowance and any screenshot pack credits are used up. After that, CI uploads fail with 409 until the next month (see Usage and limits). The banner says new uploads are blocked. In practice they’re blocked only once that allowance runs out.
  • Build history is cleaned up under the Free plan’s limit. If the banner shows “Your build history is protected until date”, older builds are kept until then.

To go back to Pro, select Upgrade to Pro and check out again with enough seats for every member. Or remove members until you’re within the Free plan’s seat limit.

Invoices

  • Billing History on Billing & usage lists subscription payments, seat changes and screenshot pack purchases, with their Date, Description, Type, Status and Amount. Every member can see it. Select Refresh to load new entries. If you see “Showing Pixmoat records while Creem transaction details sync”, amounts appear after a later refresh.
  • Invoices & Payment Method → Open Billing Portal opens Creem’s portal. There, the owner or an admin can download invoices, update the payment method and manage the subscription.

Invoices & Payment Method appears only while the organization is on a paid Pro plan. To get an invoice for an earlier subscription after moving to Free, use Help & feedback (see Troubleshooting).
